“The assistant's assistant” already lives in Artificial Intelligence

Instead of scaring the heirs of 50s secretaries, AI could boost an increasingly fiduciary, strategic and modern role...

I've thought about it a lot in these weeks in which the debate is raging on how the advent ofArtificial intelligence will likely come to replace most administrative occupations.

I confess that I was also worried and I imagined my desk empty and in my place two speakers that amplify the voice of a very cold and very annoying VA (Virtual Assistant) who answers to the name of Alexa, Siri or Cortana who tirelessly carries out my tasks flawlessly. Anxiety.

We assistants, aided by a cultural heritage that does not consider the evolution of the role and that still too often sees us as the traditional 50s secretaries, with a typewriter and spectacles, ready to carry out orders in input-output mode, to make photocopies and bring coffee, we forget too often what our true worth is company.

It seems clear that the use ofArtificial intelligence will easily come to replace us in a very effective and efficient way in many respects, especially as regards the organizational and administrative functions.

I'm thinking of scheduling appointments, organizing video calls and meetings, reserving meeting rooms, organizing a trip, a hotel or dinner reservation, drafting a report, creating an effective presentation and much, much more.

An initial zero for Artificial Intelligence, but the second half is still to be played

All right. But we assistants are not simple mechanical arms, nor simple operational extensions of the Executives.

Far from it: we are their support in many strategic and organizational processes for thefirm.

We are able to understand the priority activities for our bosses and anticipate their needs.

We can be an effective filter, avoiding letting them get to every single problem that occurs in company. Possibly suggesting a solution.

We facilitate information flows, we report communications from top management to colleagues, and vice versa, in an organized manner.

We support and facilitate a whole range of processes.

We are usually proactive people and, therefore, we are often bearers of new ideas, more or less innovative, for our own company.

And again: we are often custodians of confidential information and in many cases we become essential for giving sincere and disinterested feedback, ready to make a suggestion when requested.

Then there is our ability to empathize with colleagues and our managers and to intervene accordingly in many situations.

THEArtificial intelligence it can't go that far. You should therefore not necessarily be seen as an enemy or as our substitute.

On the contrary: it could be an important ally in our work.

Instead of resisting, it would be important to transform what is perceived as a threat into what could instead be a great opportunity for us.

Let's become aware of this transformation learning to "dialogue" with AI, to master the functions that can be useful to us, studying the tools we have available.

Fewer resources for time consuming and routine activities to increase efficiency and effectiveness

A smart integration ofAI it would mean multiplying our effectiveness and efficiency.

It would allow us to waste less time on time consuming and routine activities, helping us to focus on topics of greater relevance to thecompany and for our managers.

We could support them with quality work that requires greater attention to detail, too often penalized by the quantity of tasks to be performed.

In many respects, we could even think of theAI as "the assistant's assistant", in support of us, therefore in extrema ratio own to our Executives...
